Ten Ways to Save Money on Transcription Services

Do you hate to type?  Is your handwriting hard to read?  With an inexpensive pocket-size dictation machine, you can dictate letters and record interviews and telephone conversations.  You can even take care of business when you are away from the office.  Apply the following guidelines to save money on transcription:

  • Use a good quality microphone and tapes.  Position the microphone near all speakers to pick up all voices clearly.
  • Check the batteries in your dictation equipment.
  • Use tapes designed for voice dictation--not for music.  Music tapes pick up more sounds.
  • Dictate in a quiet enrivonment.  If you hear background noise, the tapes hears it even louder.  Distance the microphone from A/C units, fans, or PC motors.  Turn off the TV and radio.  Avoid background music and acoustics in restaurants, outdoors, airplanes, and bathtubs.
  • Provide supporting documents or a list of words with questionable spelling for the transcriptionist's reference (e.g. technical terms, names, streets, and cities).
  • Spell words involving sounds that are difficult to distinguish such as b, d, f, m, n, s, t, and v.
  • When recording conversations involving several people, instruct them not to talk simultaneously.
  • Erase the tape before dictation and indicate the end of required transcription to avoid transcribing old materials.
  • After dictation, rewind the tape to the beginning of the dictation.
